Yes, you can reference files between entities within a group, and it is encouraged. This approach helps maintain a single source of truth for documents. If a file is used as verification for multiple entities, linking to the same document ensures consistency and reduces duplication.

When referencing a file at the worksheet level, you can navigate back through the folder structure (as far back as necessary) and then forward again to locate the required file. Referencing files this way creates a link rather than a duplicate.

ℹ️ Note: A magnifying glass icon will indicate that the file is being linked to another location instead of being an original.

File Level Hierarchy

The following hierarchy outlines how files are organised and accessed within the system, from the firm-wide level down to individual worksheets in a job.

  1. Firm Level: All groups in the firm, including entities not belonging to a group.

  2. Group Level: List of entities within the group.

  3. Entity Level: List of jobs within the entity.

  4. Job Level: List of all files saved at the job level, with folders for each worksheet and other general documents
