Overview of the Xero integration
Having Xero integrated with Cimplico Workpapers gives firms the ability to:
- Add entities to Workpapers from Xero with the relevant entity details pulled-down
- Create workpapers for Xero entities using the trial balance data from Xero
- Keep your trial balance up-to-date within a workpaper by having the data automatically (and manually) updated from Xero
- (Coming soon) Create correcting journals within Workpapers to push back to Xero
The below diagram illustrates the (current) data flow between Workpapers and Xero:
You can use the Xero integration on any tier of Workpapers.
The Xero integration works on a per-entity basis, and therefore is setup and configured separately for each entity within Workpapers.
Creating a Workpapers entity from Xero
Onboarding a new entity from Xero is simple!
1. Head to the entities screen within the firm management section of Workpapers.
2. Click the New Entity button.
3. Select Xero from the add options at the top of the form.
4. Click the Connect to Xero button to initiate the authorisation flow.
5. Login to Xero (if you're already logged-in to Xero on another tab you will not be asked to login).
6. Once you've logged in, you'll see an authorisation consent form, along with a dropdown to select the Xero entity you with the authorise. Select the entity you want to authorise and click Allow access.
7. Once the authorisation is complete, you'll see a dropdown of available entities, which will default to your most recently authorised Xero entity. Select the Xero entity you wish to link and click Create Entity.
And that's it! You'll be taken to the overview page of your newly-created entity!
8. To verify the entity has been connected, head to the entity's Integrations tab.
9. You will now see an Active badge on the Xero integration card. Click Configure to manage the integration.
Connecting an existing Workpapers entity to Xero
If you've created an entity in Workpapers or via another integration, you may wish to connect this entity to Xero. Follow the below steps to do this:
1. Head to the entities screen within the firm management section of Workpapers.
2. Click the name of the entity you wish to connect to Xero to go to its overview screen. Then, click the Integrations tab on the entity overview screen.
3. Click Configure on the Xero integration card.
4. Begin the Xero auth flow by clicking the Connect to Xero button.
5. Login to Xero (if you're already logged-in to Xero on another tab you will not be asked to login).
6. Once you've logged in, you'll see an authorisation consent form, along with a dropdown to select the Xero entity you with the authorise. Select the entity you want to authorise and click Allow access.
7. Once the authorisation is complete, you'll see a dropdown of available entities, which will default to your most recently authorised Xero entity. Select the Xero entity you wish to link and click Connect.
8. And you're done! Once it's successfully connected you will see an Active badge on the Xero integration page along with the connection information.
Disconnecting from Xero
You can easily disconnect an entity from Xero from the Xero integration page in the entity's Integrations tab. You can re-connect an entity to Xero at any time, just follow the steps in Connecting an existing Workpapers entity to Xero!
1. Head to the entities screen within the firm management section of Workpapers.
2. Click the name of the entity you wish to disconnect from Xero to go to its overview screen. Then, click the Integrations tab on the entity overview screen.
3. Click Configure on the Xero integration card.
4. When you click the Disconnect from Xero button you will see a modal asking for disconnect confirmation.
5. Once you click Disconnect the Xero entity will then be disconnected from your Workpapers entity.
Creating a workpaper from a Xero Trial Balance
With your entity connected to Xero, you can create a workpaper using your Xero trial balance data. As you make changes in the Xero file, Workpapers will update to reflect these changes! Workpapers aims to maintain control and governance around updating data, and does this by ensuring worksheet status' are recalculated with the updated data. For example, if the current amount changes on a reviewed worksheet, Workpapers would detect this change and the worksheet would become unreviewed and unreconciled.
Let's look at how you create a workpaper from a Xero Trial Balance.
1. Head to the Workpapers tab and click the New Workpaper button.
2. When you click the New Workpaper button you'll see the following form:
3. Select the entity you wish to create the workpaper for. If the entity is connected to a Xero entity, you will be able to select Xero as the Trial Balance source.
4. From here, you can complete the workpaper creation form with the required workpapers details and assigned users
5. From within the workpaper you can then navigate to the Trial Balance tab to see the data that was retrieved from Xero. Workpapers will periodically refresh the data from Xero to ensure the trial balance is up-to-date, but you can always click the Update button to pull data from Xero.
